1 About Bella Digital Co and this policy
Bella Digital Co (ABN 81 754 720 756) is a founder-led digital services business based in Perth, Western Australia. We provide website creation and refreshes, branding, practical AI implementation and digital consulting across Australia. In this policy, “we”, “us” and “our” refer to the business operating under that name. Our privacy contact is belladigitalco@gmail.com.
This policy explains how we handle personal information in operating our website, responding to enquiries and administering our business and services. Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable.
This policy does not replace a client services agreement or a client's own privacy policy. If we handle information for a client, our agreed instructions and applicable legal duties also apply. A client's agreement with us does not, by itself, establish consent from people whose information the client provides.
2 Information we collect
We may collect personal information you provide when enquiring about or using our services, including:
Your name, business name, contact details, website address and project requirements.
Messages, attachments and other information you supply.
Correspondence, proposals, approvals, project instructions, billing details, invoices and payment records.
Please do not send passwords, payment card details, identity documents or sensitive personal information through general enquiries. If your project requires account access or confidential information, contact us first to arrange an appropriate method.
3 How we collect information
We collect information when you contact us by email, telephone or our website enquiry form, or provide it during a project. Our website form sends the details you enter to Formspree for processing and delivery to our business Gmail inbox. Technical collection is described in section 5.
You may make a general enquiry without giving your name, or use a pseudonym, where practical and lawful. Without contact details or relevant project information, we may be unable to reply, prepare a useful quote or provide the requested service.
4 Why we use information and who receives it
We use relevant information to respond to enquiries, assess and quote on requested work, communicate about projects, deliver agreed services, maintain business records, address complaints and protect our systems. We also use or disclose information where required or authorised by applicable law.
Recipients may include the providers that operate our website, email, files, business administration and agreed project tools; professional advisers where relevant; and a client's authorised representatives for that client's work. Disclosure is limited to information relevant to the purpose.
We do not treat merely visiting our website or reading this policy as consent to unrelated uses of personal information.
5 Cookies, analytics and embedded services
Our website is hosted and protected by Cloudflare. Hosting and security services may process technical information such as IP addresses, requested pages, browser or device information and request times to deliver the website, diagnose problems and protect against misuse. Cookies or similar technologies may be used where needed for these services.
You can manage cookies through your browser settings. Blocking cookies may affect some functions and does not prevent all technical collection. Links to external websites, including portfolio clients, take you to services with their own privacy practices. We will update this policy if we introduce analytics, advertising tracking or embedded services that change our information handling.
6 Providers storage and overseas handling
Business correspondence is held in our Gmail inbox at belladigitalco@gmail.com, and project files may be held on our computer and in the services described below. Access within Bella Digital Co is managed by its founder. Service providers may also process information as needed to operate their services, provide support, maintain security or meet legal obligations.
- Cloudflare provides website hosting, content delivery and security. It processes website traffic and technical information needed to provide these services.
- Formspree processes enquiry form submissions, including the name, email address, optional website address, selected service and message entered in the form, and delivers them to our Gmail inbox. Submitted information may also be retained in the Formspree account under its service settings.
- Google provides Gmail for business correspondence. Where project files are separately saved or shared through Google Drive, Google also processes those files for that purpose.
- OpenAI provides ChatGPT, which we use for business planning, drafting, website development and project assistance. Relevant client contact details, correspondence or project material may be processed where necessary and appropriate for the task, subject to the approach in section 7.
We keep relevant invoices and payment confirmations for business administration. We do not request payment card details through the general website enquiry form.
These providers operate internationally, so information may be processed or stored outside Australia, including in the United States. Formspree states that its services are hosted in the United States. Cloudflare states that it primarily stores information in the United States and the European Economic Area and may access it globally. Google and OpenAI also use international infrastructure; locations depend on the service and processing involved.
Provider information and current processing details are available at:

Formspree: https://formspree.io/legal/privacy-policy/
Google: https://policies.google.com/privacy
OpenAI: https://openai.com/policies/row-privacy-policy/
We remain responsible for our own information-handling obligations. Using a provider does not remove those obligations, and we will provide any further notice or obtain consent where required.
7 AI and automation
Bella Digital Co uses ChatGPT to assist with business planning, drafting content, developing websites and supporting client projects. We seek to limit the information supplied to what is relevant and to use fictional or appropriately de-identified examples where practical. Client material must be handled consistently with agreed confidentiality requirements and applicable privacy obligations.
The “Improve the model for everyone” setting is switched off in the ChatGPT account used for this work. OpenAI states that this opts new conversations out of model training. It does not mean that information is never stored or processed, and separate choices, such as voluntarily submitting feedback, may affect how a conversation is used under OpenAI’s terms. We do not treat this setting as a guarantee of absolute confidentiality or security.
Before introducing a materially different use of personal information through AI or automation tools, we will assess the relevant privacy and confidentiality requirements, provide any required notice and obtain consent where required. Engaging our services does not automatically authorise every use of personal information in AI systems.
For questions about our use of AI or your personal information, please contact us using the details in this policy.
8 Communications
We use contact details to respond to enquiries and communicate about services and agreed work. The website does not currently offer a newsletter subscription. If we send marketing communications, we will do so only on a lawful basis, identify Bella Digital Co and provide a practical way to opt out. Making an enquiry does not automatically subscribe you to unrelated marketing.
9 Security, retention and incidents
We take reasonable steps to protect personal information from misuse, loss and unauthorised access, alteration or disclosure. However, no website, email service or storage system can be guaranteed secure.
We keep personal information for as long as reasonably needed for the purposes described in this policy or to meet applicable legal requirements. When it is no longer needed, we take reasonable steps to delete it or remove identifying details.
If a privacy or security incident occurs, we will assess and respond to it and notify affected people and regulators where required by applicable law.
10 Access correction and privacy complaints
Contact Bella Digital Co at belladigitalco@gmail.com to request access to or correction of personal information, raise a privacy concern or request a copy of this policy. Please describe your request without sending unnecessary identity documents. We may seek reasonable information to verify identity and locate the relevant records.
We consider the request, investigate relevant records and respond within a reasonable period. We aim to respond within 30 calendar days; if more time is needed, we explain why and provide an update. Applicable legal requirements take precedence.
Where the Australian Privacy Principles (APPs) apply, we do not charge for making an access request or for correction. Any permitted access charge must not be excessive and will be explained in advance. If access or correction is refused, we explain the reason to the extent lawful and available complaint options. Where applicable, you may ask for a statement of a disputed correction to be associated with the record.
Please first give us an opportunity to address a privacy complaint. If the Privacy Act applies and you remain dissatisfied, you can contact the Office of the Australian Information Commissioner (OAIC) through https://www.oaic.gov.au/privacy/privacy-complaints. Its jurisdiction depends on the circumstances. Nothing in this process prevents you from seeking legal advice or using other rights available under law.
11 Updates and contact
We will update this policy when relevant practices or legal requirements change and show the revised version date. A revised policy does not itself authorise a new use of previously collected information. Further notice or consent will be provided or sought where required.
